Survey Set-up: Survey Invitation Message
- “Invitation Subject” should be customized to include group name.
- In the “Invitation Message” be sure to (examples below):
- Clearly define the group being assessed. Define who IS (and perhaps who IS NOT) part of the group to avoid confusion.
- The participant’s first name will be piped into the top of the invitation unless you remove this. We recommend leaving this in.
- The survey expire / close date is piped into the invitation in the beginning of the second paragraph. We recommend bolding this date.
- Include a point-of-contact with email address for questions.
- When respondents receive the invitation, they will see a button, “Click to Begin” at the bottom of their email. This contains a unique and confidential link that takes them directly to the survey—this link should not be forwarded to anyone else.
- IMPORTANT NOTE: In some cases, cutting and pasting directly from MS Word creates strange formatting results. A test will quickly reveal if this is the case. Alternatively, you may also first place the text in Notepad, which will strip any unusual characters, and then format the text in the tool\’s text editor.

Subject: Action Required: Welcome to the [Group Name] Network Survey
From: “Connected Commons\” noreply@connectedcommons.com
Dear [FN],
As [sponsor] announced on [insert timeframe or date], we are inviting you to participate in the network survey for [group name]. The results will help us map the networks in our organization and identify critical collaboration patterns.
Please complete this survey by {ExpirationDate}. It should only take about 10 minutes to complete.
Network Survey Details:
- This survey is being sent to [identify group].
- The link to the survey is unique to you, so please do not forward.
- Once you click on the link below, you will be asked to read and acknowledge the Privacy Policy before continuing into the survey. The policy explains how your responses will be confidentially collected, analyzed and maintained and how the data will be handled in accordance with global standards.
- While all questions are important, it is critical that each participant holistically answer the network questions. It is these questions that specifically enable data-driven networks to be developed.

Subject: Welcome to the Organizational Network Survey for [insert group name]

Dear [FN],
To follow up on my email from [insert timeframe], I am asking people involved in [group name] to complete this survey, with the goal of improving how we collaborate. The survey will ask you specific questions about how we work together across [insert functions, groups, etc.]. I believe the results will help us determine what we do well and what we could improve upon to be more efficient and effective.
Please complete this survey by {ExpirationDate}. It should take you about 10 minutes to complete. Please answer the questions as completely and accurately as possible – there are no right or wrong answers. Results of the survey will be shared with the [insert group, such as core team or leader] who is sponsoring this assessment, and the results of this survey will directly leverage strengths and drive improvements in how we work together to achieve our innovation goals.
