Survey Management (after launch) – Managing Your Assessment

Once the survey is set up, you have the ability to “Manage” the assessment.

  • Exports: there are various exports available to you, enabling a complete offline analysis of all data captured.
    • Export Min Answers: use to track responses for large population sizes while an assessment is open (includes fields needed for status reports; generates much more quickly than a full export).
    • Export Answers: primary file needed for all analysis. It contains all survey responses for each participant, including expertise (if included in survey), and key network metrics.
    • Export Network Answers: shows the seeking relationships between participants and can be used to export the network data for further analysis.
    • Export Attribute Summary: provides number of people that fall into each attribute sub-group.
    • Export Expertise Answers/Network: (expertise responses also in “Export Answers” file) shows the responses and network data only for expertise questions.
    • Export Survey Links: contains unique survey links for each participant AND their individual report link. Both are typically sent out through the platform, but this allows the alternative of being sent from an internal email address.
  • Individual Reports: there are several options that allow for modification of report and/or email message.
    • Individual Report Modifications: allows for changes to bar charts (typically, bar charts for the first 6 attributes and expertise are shown, but any may be excluded); an upload of a logo to replace the “Agility Accelerator” logo on the upper right side of report; the network diagram to be shown representing the full group or only the group represented by the first or second attribute; and the report to include all pages, or to exclude incoming ties when they are zero (which may be demoralizing).
    • Message: you may customize the subject line and report message, but be sure to keep the placeholder text in brackets and the link at the bottom to access the link to the report. Note that the link is active for 90 days.
    • Export: allows for an export of a particular set of reports.
    • Send: will send the reports to either all participants or only those who responded.
  • Manage Participants: allows a view by participant and the ability to modify a particular record. If the assessment is open, “Remind” or “Reset” will be completed for an individual participant. A “Reset” will clear out all of a respondents answers and allow them to start the survey anew. “Edit” allows a participant’s first six attributes to be updated.
  • Practice & Archetype Ratings: allows a different selection than default, used to display the charts shown in the “Gain Collaborative Insights” section.
  • Assessment Administration: allows the Team Administrator to add Assessment Administrators to view a particular assessment. This type of Admin can be added such that they see named results or anonymized results.
  • Email History: shows emails that have been sent from the platform, for survey links, reminders, and the individual reports. A status of “Bounced” indicates that the participant’s email address is no longer valid. “Delivered” indicates that it was received, and “Opened” indicates the email was opened, and “Clicked” that the link (whether for the survey or the individual report) was clicked.
  • End (or Reopen) Assessment: If you have achieved your target response rate, you may decide to close your assessment prior to the established deadline. Once you click “End Assessment”, your results will be available to you. If you’d like to change the end date of the assessment, click the edit icon to the upper right of the end date. Be sure to click the pen & paper icon to the right to save your date change!
  • Re-cache Assessment Results: Whenever a permanent change is made to the dataset or you’d like to modify the presentation of the individual report, the results must be re-cached. For example, the results need to be re-cached if a participant(s) is removed from the analysis, or re-classified to a new function. It also needs to be done if you make changes in the “Individual  Report Modification” section, such as adding your organization’s logo, removing bar charts, or choosing to depict a network other than the full group network. The re-caching function is not related to the individual report message, so changes to this message do not require re-caching. Note that the reports take about 10 seconds per person to re-generate.
